Event merch programs in Chicago

The country's largest convention floor, a three-month outdoor season, and eight months when the right merch is a warm layer.

Chicago is a fly-in market for us and the most rule-bound convention city on this site. It also has the sharpest seasonal split of anywhere we work. The outdoor season is short and intense — roughly Memorial Day to Labor Day, when neighborhood street festivals and lakefront events run almost every weekend — and the remaining eight months are indoor, corporate and heavily weighted toward warm goods. A program written for a July street fest and one written for a January holiday party in River North share the logo and nothing else.

Convention rules, and why they change the packing list

North America's largest convention center publishes a set of exhibitor rights that genuinely affect what is worth shipping. Smaller booths can generally be set up by a company's own full-time employees, and hand-carried material can come in through designated entrances rather than through material handling — a meaningful saving if the program is compact enough to qualify. Larger footprints and anything freighted go through the contractor and drayage in the usual way. Docks, unions and West Loop freight elevators

Away from the convention floor, Chicago venues expect procedure: certificates of insurance naming the right parties, scheduled dock appointments, union coordination in the large hotels, and a booked freight elevator in the Fulton Market and West Loop loft buildings where most launch events happen. None of it is difficult and none of it is optional, but all of it has a lead time — a program that assumes a walk-in load-in loses its first two hours and never gets them back.

Eight months of outerwear

The most useful thing to know about this market is that a warm piece outperforms a tee for most of the year, by a margin that consistently surprises clients from milder places. Winter kickoffs and holiday parties should be planned fleece-first — see the heavier layers — with knit caps as a genuine second item rather than an afterthought. Summer flips hard the other way, to tees and totes for street-festival volume. If your calendar spans both, plan them as two programs rather than one order stretched across the year.

Travel, freight and staffing

Chicago carries the flat $900 travel allowance that applies outside Orange County, LA and San Diego, a $4,500 event minimum instead of the $3,000 local one, and any show-imposed material handling on freighted stock. Staffing is $250 an hour for the first station and $125 an hour for each additional one, setup and teardown included. Send the show or venue, the dates and the headcount through the work order.
